Importing data into Donorfy - overview

You can upload (import) data into Donorfy using a Microsoft Excel workbook template, which you can download from the File Upload in Actions (make sure you click the Update Template button first).

Worksheets should not exceed 500 rows.

It can import Constituents and Timeline entries such as Donations (Transactions), Activities and Gift Aid Declarations.

Got donors AND donations etc to import?

First import the donors (which Donorfy calls Constituents), then import the donations in a second pass. Then import the Activities in another pass. And then the Gift Aid Declarations.

To do this, split them out into separate workbooks, with one tab each.

And make sure you give each donation something to connect it to the right donor - e.g. the email address, phone number or the key from your old database.

Upload, correct and upload again

Once you've uploaded a worksheet Donorfy will check it for you and mark it up with all the errors or warning it found (unless there weren't any). Then you download it, correct everything and re-upload it.

Tips

  • don't change the cell format from the ones in the template
  • set up the lookup fields in Donorfy first - e.g. campaigns, products and payment methods on donations, 
  • import donors first, and then donations and other timeline entries using separate workbooks.
  • You can undo an import, but only if you haven't started changing the imported data in Donorfy.

Note

Any embedded HTML in a cell (for example  <script>alert('1')</script>) will be removed.

if a cell starts with =,+,-,# or @ it will be  appended with  a single quote to the start
